Event Terms & Conditions for Attendees

1. General Information

Upon registering, attendees will receive an electronic confirmation within 24 hours. If not received, check your spam folder or use the contact form.

2. Eligibility

All registrations are subject to review. Parking Network reserves the right to refuse or cancel registrations if they do not meet eligibility criteria. 

  • Registration via our event site (https://pne.parkingevent.com) as an attendee is exclusive to parking representatives; 

  • Solution and service providers are not permitted to register as attendees. If a registration is determined to be ineligible, it will be canceled without any liability on the part of Parking Network for any associated costs incurred by the registrant.

 

3. Pricing & Payment Terms

  1. Authoritative Pricing
    • All fees and surcharges published on our website, in email communications, or in any other official Event materials (“Listing Prices”) are the sole authoritative prices for this Event.
    • We may change any Listing Price at any time, for any reason. Revisions will be posted on the Event website and apply only to registrations submitted after the updated prices are published.
    • All Listing Prices are offered in good faith but remain subject to typographical or other human error.
  2. Reservation & Payment Deadline
    Once your registration is approved, your place is held on a provisional basis. To confirm it, the full fee must be paid within 14 calendar days of approval, and in all cases no later than 23:59 (local time) on the day before the Event begins (“Payment Deadline”). If the payment is not received by the Payment Deadline, we may cancel the reservation and/or refuse entry to the Event. Late or partial payments can incur an administrative fee as well as statutory interest calculated from the original due date.

  3. Checkout Discrepancies

    Any amount shown or charged during the online checkout process that differs from the correct Listing Price is invalid and non‑binding. We reserve the right to:

    • correct any erroneous price or surcharge at any time; and
    • issue an updated invoice reflecting the correct Listing Price.
  4. Payment Method Surcharges
    • Certain payment methods may carry an additional transaction fee (“Payment Surcharge”).
    • The surcharge varies by payment method: some methods have no surcharge, while others attract a percentage of the transaction amount.
    • The exact surcharge—if any—is calculated and clearly displayed after you select a payment method but before you authorize payment.
    • You may cancel the payment session and select a different available method at any time until the full registration fee (including any applicable surcharge) has been successfully paid
  5. Underpayment
    • If the amount we actually receive is less than the correct Listing Price (including any Payment Surcharge), we will notify you and give you five (5) business days, but before Payment Deadline, to pay the outstanding balance.
    • Failure to remit the balance within this period will result in automatic cancellation of the registration. Any amount already paid will be fully refunded, and the seat may be re‑allocated.
  6. Overpayment

    If an overcharge occurs, we will refund the excess amount to the original payment method within ten (10) business days of identifying the error.

  7. No Waiver

    Our decision to correct pricing errors, adjust surcharges, or cancel a registration under this clause does not waive any other rights or remedies available to us.

 

4. VAT Regulations

Under Articles 53 & 54 of the EU VAT Directive, admission to in‑person events is taxed where the event physically takes place. Because this event is in The Netherlands, all registration fees are subject to Dutch VAT at 21%, regardless of where the attendee or their organization is established. EU‑established businesses (outside the Netherlands): Enter a valid EU VAT identification number during registration so it appears correctly on the invoice. Dutch VAT is still charged, but you may reclaim it later through the electronic EU VAT‑refund system (Directive 2008/9/EC).

  • Dutch businesses and all private individuals: Dutch VAT is always charged.
  • Non‑EU businesses and organizations: Dutch VAT is charged on every invoice. If your country has reciprocity with the Netherlands, you may be able to recover this VAT under the EU “13th Directive” procedure.

Any invoice issued without the correct Dutch VAT due to technical or human error will be corrected and re‑issued. Any underpaid VAT must be settled within five (5) business days.

 

5. Refunds/Cancellations Policy

A registration becomes binding and non‑refundable once the full fee (including any surcharges) has been received and credited to our account (“Confirmed Registration”). After that point, you may not cancel the registration or claim a refund under any circumstances, except if the organizer cancels the event; in that case, our liability is limited to reimbursing the fees actually paid. By submitting payment you confirm that you have read, understood, and accepted this Refund/Cancellations Policy.

 

6. Privacy and Data Protection

All sensitive information provided during registration, including personal and organizational details, will be kept strictly confidential. Parking Network ensures that this information will not be shared with third parties without your explicit consent. Your data will be used solely for event-related purposes and will be protected in accordance with our privacy policy.

 

7. Substitution Policy

Substitutions are permitted before the event. The requesting party takes the responsibility of providing all up-to-date information to Parking Network and handling all associated financial obligations. 

Badge sharing, splitting, and reprints are prohibited.

 

8. Consent to Use of Photographic Images

Attendance at PNE constitutes consent to the use of the attendee's image and voice in any media, for promotional purposes by PNE and its affiliates. By participating in the Parking Network Event, you acknowledge that filming and photography will take place during the event. The footage and images captured may be used by Parking Network for promotional content, including but not limited to videos, social media, and marketing materials. If you have any concerns, please contact the event organizers.

 

9. Workshops and Networking Tables for Exhibitors

Please be advised that registration as an exhibitor for this event does not guarantee a specific time slot for any workshops. Workshop scheduling is subject to availability and may change based on the event's logistical needs.

Additionally, the placement and allocation of networking tables will be arranged at the sole discretion of the event organizers. Registration does not guarantee a specific networking table or its position within the venue. All table assignments are subject to change and will be determined by the organizers based on space availability and logistical considerations.
